Your venue is the single largest line item in your wedding budget — often 30–40% of the total spend — and it's the decision that everything else flows from. The date, the guest count, the catering options, the noise curfew, the vendor restrictions: all of these depend on which venue you choose.
Yet most couples tour venues without a structured checklist, get swept up in how beautiful the space looks on a sunny afternoon, and sign a contract before they've asked about overtime fees, preferred vendor requirements, or what happens if it rains.
This wedding venue checklist gives you 40+ specific questions to ask before you book. Bring it to every tour, use it as a printable PDF or adapt it to a spreadsheet, and refer to it again when you review the contract.
Availability and Access
These questions establish the basic logistics before anything else matters.
- Is our preferred date available? If not, do you have a waitlist or alternative dates that are discounted?
- How many total hours are included in the rental? What are the exact start and end times?
- When can vendors begin arriving for setup? Is there a separate vendor load-in time?
- What time do all guests and vendors need to be off the property?
- Is there an overtime fee if the event runs long? What is the hourly rate, and does it apply to the whole rental or just the service staff?
- Are there noise restrictions or sound limiters installed? What decibel level, and what time does it apply?
- Can we access the venue the day before for setup? Is there an extra fee?
Why these matter: Venues often list a "10-hour rental" but mean guests can be present for 6 hours after accounting for vendor setup and breakdown windows. Overtime fees can run $500–$2,000 per hour. Sound limiters are common in UK venues and some urban US venues — if live music or a DJ is important to you, this could be a dealbreaker.
Capacity and Layout
- What is the maximum seated guest capacity with a dance floor?
- What is the maximum capacity for a cocktail-style or standing event?
- Is there flexibility in the room layout, or is there one standard configuration?
- Is there a separate cocktail hour space, or does the same room flip from ceremony to reception?
- Is there a fee to flip the room between ceremony and reception? How long does it take?
- Are there getting-ready suites available? What time can the bridal party access them?
- Is there a separate space for the groom's party to get ready?
- Is parking available on-site? Is it free for guests, or paid/valet?
- Is the venue accessible for guests with mobility limitations (ramps, elevators, accessible restrooms)?
For outdoor and semi-outdoor venues: Is there a backup indoor space in case of rain or extreme heat? Is using it at the venue's discretion or yours? Is there a fee to use it?
Catering and Alcohol
This section is where many couples are surprised by restrictions they didn't expect.
- Do you have an in-house caterer, or can we bring a licensed external caterer?
- If external caterers are allowed, is there a venue fee for using them?
- Do you have a preferred vendor list? Are we required to use vendors only from that list, or is it a suggestion?
- If you have an in-house caterer, is there a minimum spend per head or a food and beverage minimum?
- Can we bring our own alcohol? Is there a corkage fee?
- If the venue provides bar service, is the staff licensed (e.g., TABC certification in Texas, RSA certification in Australian states)?
- In Australian states (particularly Victoria), is there a BYO permit in place, or do we need to apply for one?
- Are tables, chairs, linens, glassware, and cutlery included, or do they need to be rented separately?
- Is there a kitchen facility on-site for caterers, or just a prep/warming area?
- Is there a cake-cutting fee if we bring a cake from an outside baker?
UK-specific: Confirm whether the venue's quotes include VAT (20%). A quote of £8,000 excluding VAT becomes £9,600. Always ask for the VAT-inclusive total.

Fees and Financials
The most important section — and the one where hidden costs are most likely to appear.
- What is the deposit amount, and when is the final balance due?
- What is the cancellation policy? What percentage of payments are non-refundable at various points?
- Is the deposit protected in any way if the venue itself has to cancel (e.g., due to fire, flood, or insolvency)?
- Are there mandatory service charges or administrative fees on top of the quoted price?
- Is there a cleaning fee? Is it included in the quote?
- Is event security required? Does the venue supply it, and what is the cost?
- Are there any restrictions on décor (open flames, confetti, sparklers, hanging items on walls)?
- Is there a fee to use outside floral or décor vendors?
Contract red flags to look for in writing: One-sided cancellation terms (you owe 100% if you cancel but the venue can exit with minimal penalty), missing force majeure language, and vague definitions of what's included in "venue hire."
Logistics for Vendors
Your other vendors need to know venue logistics too. Get these answers for your vendor briefing packet.
- What is the venue address and postcode for vendor GPS routing? Is the delivery entrance different from the guest entrance?
- What are the load-in and load-out times for vendors?
- Is there a freight elevator or loading dock for large items (floral arches, furniture rentals)?
- Are there any vendor power requirements or restrictions (generator use, number of circuits available)?
- Is there Wi-Fi for DJ equipment or payment systems?
- Does the venue assign a point of contact for vendors on the wedding day?
UK, Australia, and New Zealand Venue Specifics
UK: Under current law, legal wedding ceremonies must take place in a building or structure with a roof (rules are evolving but open-air ceremonies remain restricted as of 2026). Confirm whether the venue holds a civil marriage licence if you plan to legally marry on-site, rather than separating the legal ceremony from the celebration.
Australia: Confirm whether the venue's liquor licence covers your event. In Victoria, BYO requires a permit. In NSW, a function licence is typical. "No objection" to BYO does not mean it's legally covered.
New Zealand: Smaller vendor pool means venues book 12–18 months out in major cities. If a cultural officiant or a venue connected to a marae is involved, understand the role of koha (a gift or donation tradition in Māori culture) versus commercial pricing.
Using This Checklist
Bring a printed or digital copy to every venue tour. Don't rely on the venue coordinator to volunteer this information — many will only answer what you ask. After the tour, compare your notes from multiple venues using the same framework so you're evaluating like-for-like rather than impressions.
Before signing, re-read the contract against the answers you were given verbally. Anything promised verbally that isn't in the contract doesn't legally exist.
