Wedding Expenses Checklist: Every Cost Category You Need to Budget For

The couples who end up significantly over budget at the end of their wedding are rarely surprised by any single large expense. They are surprised by the thirty medium expenses they never thought to include. The photographer's travel fee. The alterations on the dress. The tips for five vendors. The marriage license. The rehearsal dinner. The hair and makeup trial. These items are not hidden costs — they are just not on most budget templates.

This checklist covers every category. Go through it before you set your total budget, not after.

Ceremony Costs

  • Venue or register office fee
  • Marriage license fee (varies by country and state — see notes below)
  • Officiant or celebrant fee (separate from venue, unless the venue provides one)
  • Ceremony musicians
  • Ceremony decor: floral arch, aisle flowers, pew markers
  • Sound system if the venue does not provide one
  • Order of service printing
  • Marriage certificate copies (you will want at least two certified copies)

Legal fees by region: - US: Marriage licenses typically cost between $20 and $100 at the county level - UK: Giving notice at a register office costs a set fee per person; the civil ceremony has a separate fee - Australia: Civil ceremony fees through a registered celebrant vary; registry fees apply - New Zealand: Marriage license fee is a set government fee - Canada: Provincial fees vary; Ontario and BC have fixed rates

Reception Costs

  • Venue hire
  • Catering per head (confirm whether this includes service staff)
  • Bar service or alcohol (often quoted separately from food)
  • Cake or desserts
  • Cake cutting fee (some venues charge this separately)
  • Vendor meals — caterer, photographer, videographer, DJ, coordinator, any assistants
  • Overtime charges if the reception runs past the booked hours
  • Venue cleanup fee if not included

Photography and Videography

  • Photographer fee
  • Second photographer or assistant fee
  • Videographer fee
  • Travel fees if your ceremony and reception are at different locations or if the venue is outside their standard radius
  • Photo album or print package (often sold separately from the digital files)
  • Drone footage add-on if applicable

Gratuities and Tips

Tipping is expected in most English-speaking markets for most vendors, though conventions vary. Budget for tips for: - Caterers and service staff (often added as a percentage or a per-head amount) - Photographer - Videographer - DJ or band members - Hair and makeup artists - Coordinator or planner - Driver

UK note: Tipping culture is less codified in the UK than in the US. For wedding vendors, tipping is appreciated but not obligatory in the same way. Caterers and bands typically do not expect a set percentage, but cash envelopes for exceptional service are well received.

Australia and NZ note: Similar to the UK — tipping is less standard but appreciated. Service charges are rarely added automatically.

Miscellaneous and Contingency

  • Wedding insurance (highly recommended to purchase as soon as you book your venue)
  • Gift bags or welcome boxes for out-of-town guests
  • Wedding favors
  • Ring box
  • Guest book or audio guestbook
  • Emergency kit supplies
  • Any name change administration costs after the wedding

How to Use This List

The purpose of going through every category now is not to create anxiety — it is to create accuracy. Set aside a realistic amount for each category before you begin booking, even if some of those amounts are zero because you have decided to skip that element entirely. A decision to skip something is much better than a surprise at the end.

Once you have assigned a number to every category, total it. If it exceeds your overall budget, you know which categories to reduce before you are committed to any contracts.
