Destination Wedding Packing Checklist: What to Bring (And What to Send Ahead)
Packing for a destination wedding is unlike any other trip you'll take. You're not just packing for a vacation — you're packing for the most important event of your life, in a country where you may not speak the language, with no easy access to a last-minute emergency run to a local department store. Getting this wrong has real consequences: a forgotten marriage license means a postponed ceremony, a lost wedding dress claim takes weeks to resolve, and running out of custom stationery the morning of a welcome dinner is a crisis that no amount of money can immediately fix.
This packing checklist is organized into categories, with clear guidance on what must travel with you in carry-on luggage, what can be checked, and what makes more sense to ship to the venue ahead of your arrival.
The Non-Negotiables: Carry-On Only
These items must never go in checked luggage. Checked bags get lost, delayed, and damaged at rates that would alarm you if you looked at the statistics. If any of these items are in your checked bag when the airline loses it, you have a serious problem on your hands.
Legal and travel documents: - Both passports (valid for at least 6 months beyond your wedding date) - Marriage license (if obtained in advance) - All legal documents — birth certificates, apostilled copies, CNIs (Certificate of No Impediment), single status affidavits - Travel insurance documents with 24-hour emergency contact numbers - Copies of all vendor contracts and confirmation emails - Hotel and resort booking confirmations - Wedding planner contact details (local phone number and address)
Rings and jewelry: - Both engagement and wedding rings in a hard case - All jewelry you plan to wear on the wedding day - Jewelry you're wearing at other wedding week events (rehearsal dinner, welcome party, farewell brunch)
The wedding dress. Almost all modern wedding dresses can be folded or rolled into a garment bag that fits in an overhead compartment. Airlines are generally required to accommodate this. If your dress is too structured to compress, look into airline garment bag policies — many carriers will hang it in a crew closet on request. The cost of a first-class seat for your dress is worth every cent compared to the cost of a lost or damaged gown with no time to replace it.
Emergency beauty kit: - Lip color used on the wedding day - Pressed powder for touch-ups - Stain remover pen (Tide To Go or similar) - Safety pins (multiple sizes) - Fashion tape (double-sided, for dress and décor emergencies) - Needle and thread in a color matching the dress and any bridesmaid dresses
Checked Luggage: The Wedding Day Kit
These items are important but replaceable or have enough lead time if they're delayed by 24–48 hours.
Shoes and accessories: - Wedding shoes (packed in original box if space allows, for structure) - Shoes for rehearsal dinner, welcome party, and any group excursions - Hair accessories, veil, hair pins
Groom's attire: - Suit or tuxedo in a garment bag (can usually fit in overhead compartment too — worth the effort) - Dress shirts, ties, cufflinks - Dress shoes
Wedding stationery you're carrying: - Ceremony programs (if not printing locally) - Table seating chart or escort cards - Menus - Welcome bag inserts: itinerary cards, local guide, thank-you notes
Favors and décor items. Keep these lightweight and compact. Consider: custom items that can't be sourced at the destination (locally branded favors, personalized items), décor accents in non-standard colors that match your palette. Leave behind: candles (often confiscated at security), fresh florals (customs), large structural décor items (ship ahead or source locally).
What to Ship to the Venue in Advance
Shipping to your destination venue 2–3 weeks ahead solves the problem of luggage weight limits and fragility concerns.
Items worth shipping: - Welcome bags (fully assembled, labeled with guest names) - Favor boxes and inserts - Custom signage printed on lightweight foam board or fabric - Ceremony programs (large quantities) - Aisle décor, ribbon, fabric runners - Any item too large or fragile to pack safely
Before shipping internationally: - Verify with your venue that they will receive and store packages — get confirmation in writing with the contact name who will sign for delivery - Use a courier that provides door-to-door tracking (FedEx International Priority or DHL Express) - Declare contents accurately on customs forms — underdeclaring can result in seizure at customs and a fine - Ship at least 3 weeks out to allow for customs delays - Include a packing list inside each box for venue staff to verify on receipt

Destination-Specific Additions
Mexico (Riviera Maya, Cabo): - Sunscreen (reef-safe is required at many Yucatan-area venues and cenotes) - Bug repellent for evening events (DEET-based or permethrin) - Your blood test appointment confirmation (blood tests must be done in Mexico 2–4 days before the ceremony — bring the appointment paperwork) - US dollars for tips; cards are widely accepted at resorts but cash is expected for tips
Caribbean (Jamaica, Dominican Republic, Bahamas): - Medications — bring more than you need; specific prescriptions may not be available locally - Waterproof bags for any outdoor-adjacent events - Your room block confirmation letter for hotel check-in
Europe (Italy, Greece, Portugal): - Apostilled documents already translated into the destination country's language - CNI or equivalent from your home country - Plug adaptors (Type C and F for continental Europe, Type G for UK/Ireland) - A euro cash allowance for small vendor tips and local transport
Bali and Southeast Asia: - CNI from your consulate (apply at least 8 weeks out) - Modest cover-up for any temple visits during the trip - Comprehensive travel health insurance — medical evacuation from Bali or Thailand to major hospitals in Singapore or Bangkok can cost $15,000–$50,000 without coverage
Australia and New Zealand domestic destination weddings: - EFTPOS and card coverage — most venues are cashless now; tips are not customary - UV protection — Australia's UV index regularly hits 11+ in summer months
